Volunteer Information

Volunteers play an important role in helping make École Birds Hill School a vibrant and supportive learning community. Whether you're helping in a classroom, joining us on a field trip, coaching a team, supporting a special event, or volunteering with PAC, we sincerely appreciate your time and commitment to our students.

To ensure the safety and well-being of all students, River East Transcona School Division requires volunteers to complete an annual registration process and maintain current screening requirements before participating in volunteer activities.

Interested in Volunteering Next Year!?

We encourage all current and prospective volunteers to begin the process as early as possible, ideally during the summer months. Some background checks can take several weeks to process, and completing requirements early helps ensure volunteers are approved and ready to participate in school activities beginning in September.

Step 1: Complete the Volunteer Application Form

Beginning with the 2026–2027 school year, all volunteers must complete a Volunteer Application Form annually.

The Volunteer Application Form must be completed in ink at the school office. Once completed, office staff will forward the form and any required documentation to the Division's Human Resources Department for processing.

Annual registration helps ensure volunteer records remain current and that volunteers understand their responsibilities, confidentiality obligations, and applicable screening requirements.

Step 2: Complete Required Background Checks

Child Abuse Registry (CAR) Check

All volunteers are required to complete a Child Abuse Registry Check.

  • Required annually
  • No fee for volunteers
  • Applications are available in the school office
  • Two pieces of government-issued identification are required
  • Completed applications must be returned to the school office
  • The school will submit all CAR applications to the Divisional Administration Office on behalf of volunteers
  • Processing can take approximately 6–8 weeks

To ensure eligibility for the entire school year, volunteers are expected to submit a new CAR application each June, even if their current CAR check expires partway through the upcoming school year.

Criminal Record Check (CRC)

All volunteers are required to complete a Criminal Record Check.

  • Required every two years
  • Must be dated within the previous 12 months for new volunteers
  • Winnipeg residents can apply online through the Winnipeg Police Service
  • CRCs must include a Vulnerable Sector Check

For East St. Paul residents:

East St. Paul residents may have the Criminal Record Check fee waived.

  1. Pick up a volunteer letter from the school office.
  2. Bring the letter to the East St. Paul RCMP detachment when applying for your Criminal Record Check.
  3. Complete the Criminal Record Check process with the RCMP.
  4. Once your Criminal Record Check has been completed, provide a copy to the school office so it can be forwarded to Human Resources.

Completed Criminal Record Checks must be submitted to the school office and will be forwarded to Human Resources for review.

Important Reminders

  • A new Volunteer Application Form must be completed each school year.
  • Child Abuse Registry (CAR) Checks must be renewed annually.
  • Criminal Record Checks (CRC) must be renewed every two years.
  • Some volunteer roles (such as coaching or supervising students) may also require a Vulnerable Sector Check (VSC).
  • Completed CAR applications must be returned to the school office. The school will forward all applications to the Divisional Administration Office for processing and approval.
  • All required forms and background checks must be submitted and approved before volunteering can begin.
  • CAR applications can take 6–8 weeks to process, so volunteers are encouraged to apply as early as possible.
  • To avoid interruptions to your volunteer eligibility, CAR applications should be completed each June for the upcoming school year.
  • Starting the process early helps ensure volunteers are ready to participate in field trips, classroom activities, school events, and extracurricular programs throughout the year.

Thank you for supporting École Birds Hill School. We are grateful for the many parents, guardians, family members, and community volunteers who help enrich the educational experiences of our students.
